Metrics Transactions list Searching, sorting and filtering Exporting

On this page you will be able to find all your Transactions: the Return and Exchange requests placed by your customers via the Return Portal. 

It is split into two blocks: Metrics and Transaction list.

 

Metrics

On this block you will be presented a set of simple metrics, so you can easily tell if there are any transactions that require your immediate attention, plus the breakdown of the requests received on the current month.

The top row displays Transactions:

  • About to Expire: Applies to Instant Transactions only, that if not processed before 30 days, will be marked as Accepted automatically. Non-instant transactions do not expire.

    Only for merchants on Advanced and Premium plans

     
  • For Review: Count of all transactions currently marked as “For Review”
  • Pending Approval: Count of all transactions that have not yet reached a final state.
  • Accepted: Your ratio of accepted transactions, so you know how good your customers are at returning products on time and in good condition. 

The bottom row gives the breakdown of the transactions received in the last 30 days:

  • Total transactions: Total number of requests received during the period.
  • Instant transactions: What percentage of the total corresponds to Instant transactions.

    Only for merchants on Advanced and Premium plans

     
  • Returns: How many of the requests received during the period where Product Return requests. (Measured on a per product basis)
  • Exchanges: How many of the requests received during the period where Product Exchange requests. (Measured on a per product basis)

 

Transactions list

On this block you will be presented with the paginated list of Transactions, with whatever filters and sorting that might have been selected, applied to it. 

For each Transaction you will a summary with the following details

  1. Original order number: ID for the customer's original purchase that they are returning/exchanging. (Note that there can be multiple requests for the same original order, and they will be displayed as individual different transactions.)
  2. Transaction Type & Mode: See list
  3. Customer details: Name and email
  4. Transaction date: When the request was received
  5. Update date: When the request was last updated
  6. Days remaining: Only for instant transactions. Days until it is marked as accepted automatically.
  7. Transaction status: See list
  8. Transaction value: Result of the transaction (Refund/Payment & amount) and its status (Pending/Completed)
  9.  Return method: Return method selected by the client to return their products to the store

Clicking on each element on the list will open its Detail Page, but, if needed, it is also possible to update the status of a Transaction directly from here.  Just click on the Transaction status element and a dropdown with options will open. 

 

 

Searching, sorting and filtering

The transaction list also allows you to filter and sort the results shown, using the controls on the top bar and save filter sets as views, for quick and easy context switching.

The top bar displays the current view in use. Clicking on its name will open a list of all the other saved views available.

The search field will filter the current list by only showing transactions where the text entered in the field either matches the order number of the transaction, the email of the customer or the tracking number of the returned products. Search queries are NOT saved as part of a view and will be reset every time.

The add filter action will open a modal dialog showing all the avaible filter options that can be added to the list.

  • Transaction type: See list
  • Transaction mode: See list
  • Transaction status: See list
  • Request date: When the request was received. It allows only selecting a start or an end date if needed.
  • Last updated: Measured in number of days since last update.
  • Days left to validate: For instant transactions only; Days left until the returned products are automatically marked as accepted.
  • Refund Method: Method chosen by the customer to get their money back (Bank transfer, Store credit, Original Payment method).
  • Return method: Type of logistic methods chosen by the customer to return the products to the store. 
  • Contains products with a return reason: Matches transactions where at least one of the returned products was returned/exchanged because of one the selected reasons.
  • Contains products with a rejection reason: Matches transactions where at least one of the returned products was rejected because of one of the selected reasons.
  • Return region: Geographical region (Country/Country & State) of the customer from which the products were to be returned. 
  • Exchange order status: for Exchange requests, wether the order for the delivery of the newly requested products has been created yet or not.
  • Payment status: For requests that require the customer to pay before the new products are shipped, wether the payment has been completed or not.
  • Refund status: Status of the refund: Issued or Pending
  • Contains products: Matches transactions where an specific product or set of products are being returned or requested (for exchange requests)
  • Return labels status: Matches transactions based on whether or not the creation of the requested return labels was completed successfully or not.

Every time a filter os applied the corresponding item will be added to the filterset

Results can be sorted based on 

  • Transaction date: When the request was received.
  • Update date: When the transaction was last modified. Ie: Status change, Products accepted/Rejected, Notes added… (Earliest to latest).
  • Transaction status: See list (From less to more advanced along the transaction lifecycle).
  • Days left to validate: Only for instant transactions. Days until it is marked as accepted automatically. (From less to more days left. Non instant transactions appear last.)
  • Return #: Order number, and if there are multiple requests for the same order, the most recent is shown first.

If the filters for a view change, a warning will appear on the title bar.

Clicking on the actions menu on the right will show the options to save the new filterset for the current view, to save it as a new view or to discard changes and return to the last saved version of that view.

If the user leaves the page without saving changes to the view, the next time the page is visited, the view will revert to its previously saved state. 

Exporting

The “Export list” action in the actions menu for views will retrieve all the transactions visible on the current view and email a file with their information, in the selected format, to the chosen email address
